Office Assistant

POSITION SUMMARY

 Reporting to the President, the Office Assistant manages the daily operations of the JLB office and serves as the liaison between the JLB and the Association of Junior Leagues International (AJLI).  The Office Assistant performs advanced secretarial and clerical duties for the President, Board, Management Team and other volunteers.  Assignments may involve work of a time sensitive and confidential nature and require thorough knowledge of the policies, practices and procedures of the organization including confidentiality. 

Responsibility 1                       Administrative Support                                   

  • Prioritize and process work orders from members.

  • Oversee the update, layout and printing of the JLB yearbook annually in the needed timeline.

  • Process bulk mailing, mass communications, and yearly dues notices; working with appropriate committees/Board members.

  • Assist in the creation of a weekly email BLAST and social media communications.

  • Prepare a monthly report of membership changes and statistics.

  • Maintain an accurate and complete database of active and sustainer data and records, current and archival.  This will include email lists and prompt updates upon receipt of new information.

  • Maintain a basic inventory of office supplies and purchase additional as needed/budgeted.

  • Oversee the operation and maintenance of office equipment and coordinate repairs as needed and when approved.

  • Process membership additions/changes through AJLI in a timely manner.

  • Organizes and maintains confidential office files and records.

  • Operates a variety of office equipment including copy/fax machine and computer.

Responsibility 2                       Receptionist                                                    

  • Processes all incoming telephone calls, provides general information and takes messages to pass along to the appropriate JLB member. Process incoming mail and email and distribute to appropriate JLB member. 

  • Notify members, by phone or email, of time sensitive and important mail upon receipt.

  • Delivers friendly, helpful and high quality service as first-line representative of the JLB.

  • Maintains information about the organization.

Responsibility 3                       Bookkeeping                                                   

  • Deposit checks and cash in bank, receive invoices and make payments, and maintain organized financial files.

  • Work with Treasurer and Bookkeeper to maintain financial order.

Responsibility 4                       Professionalism                                                                      

  • Maintains a professional and courteous demeanor at all times.

  • Provides timely, respectful and thorough customer service.

  • Communicates immediately with JLB President regarding issues, events, and updates.

  • Maintains a proper professional image and generates positive public image.

  • Maintain a neat, orderly, and safe work environment.

  • Other duties or assignments as directed.

  • Complies with all safety policies, practices and procedures.

KNOWLEDGE & EXPERIENCE REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed on this job description are representative of the knowledge, skill, and ability required.

 ·         Requires a minimum of three years secretarial experience, high school diploma or GED with business courses; business school graduate preferred.

·         Excellent typing and general office skills.  Proficient PC skills including knowledge of Microsoft Office specifically Word, Excel and PowerPoint, and record keeping.

·            Knowledge of QuickBooks and Wordpress preferred.

·         Ability to handle multiple tasks simultaneously. 

·         Strong written, oral, and interpersonal communication skills and able to write appropriately for the needs of the audience.

·         Able to use logic and reasoning to identify alternative solutions and problem analysis.

·         Able to interpret a variety of instructions furnished in written, oral, diagram or schedule form. 

·         Able to write reports, business correspondence and procedure manuals.

·         Must be able to attend monthly membership meetings and Management Team meetings on occasion.

·         Flexible attitude, able to work independently looking for ways to help others.

·         Dependable and a self-starter.

·         Must have valid Idaho driver’s license.
