Reports to: VP of Operations


ROLE AND RESPONSIBILITIES

OVERSIGHT RESPONSIBILITIES AS OFFICE ADMINISTRATOR

  • Employee and office volunteers

  • Establish priorities of workflow

  • Database and technology management (Must have experience with Google Suite products)

  • Graphic design of marketing and membership documents

  • Attend monthly Operations meetings

  • Order supplies

  • All responsibilities as listed below

GENERAL RESPONSIBILITIES AS A MEMBER OF THE OPERATIONS TEAM

  • Work as a team member in a small office

  • Maintain and update database

  • Maintain and update tasks/projects boards (Trello)

  • Maintain Google intranets, documents, sheets, drive and calendars

  • Assist in the preparation of events including RSVP forms, spreadsheets, invitations, name tags, etc.

  • Prepare mail merge letters/emails and other documents

  • Assist with bulk mail process: generate labels, volunteer instruction, drop off at post office

  • Create forms (Jotform)

  • Follow established standard operating procedures (SOPs) and recommend updates to the SOPs

  • Upkeep of notebooks (Board/Communication/Media history/Newsletters)

  • Answer phones, forward messages

  • Registration assistance at evening Annual Meeting & Grants Award (May event) and Symposium event (every 2 years in October)

  • Use of software: Google Suite, Trello, Salesforce, Jotform, Quickbooks, InDesign, Photoshop, Wordpress


This position is the primary contact for all committees unless otherwise delegated.

BOARD OF DIRECTORS

  • Maintain board site and motions log, collect minutes and status reports monthly

ENDOWMENT COMMITTEE

  • Spreadsheet and Salesforce updating, correspondence to members, promotion support

FINANCE COMMITTEE

  • Assist in correspondence, reconciliation of payments

GRANTS COMMITTEE (including Pooled-Fund, Steering, Assessment)

  • Send out correspondence, update intranet, assist in preparing and updating grants documents and reports, preparing ballot, other items as needed

MARKETING COMMITTEE

  • Design Newsletters (Adobe InDesign), Annual Report, promotional documents, update web site, send out email Updates, invites, etc. (via Salesforce/Vertical Response)

MEMBERSHIP COMMITTEE

  • Process renewals and Individual Grant Designations, upkeep of member database, packets for new and prospective members

SYMPOSIUM COMMITTEE (every 2 years)

  • RSVPs, promotion, guest name tags, sponsorship documents, general support as needed
