Director of Operations

The Director of Operations ensures that the Center’s everyday activities run smoothly. The Director of Operations will be responsible for the financial systems, operations, and accounting for the Center so that we can fulfill our strategic commitments. The Director of Operations works closely with: the Advancement Director to account for and project revenue from donations; our Service Director to assess revenues for service, provide cost accounting for all functions therein, and provide support for the smooth operation of services; the Scientific Director to monitor and report on grant allocations; and with the Executive Director to execute careful management of resources across the entire organization. We are seeking a Director of Operations who is highly skilled in accounting, audit preparation, and operations management, systems thinking, and operations management, and who wants to use her/his skills to make deep impacts for individuals and broad impacts for the educational systems that sustain them.

Responsibilities

Financial Systems (45% of effort)

  • Manage and oversee Center finances and processes including accounts receivable and payable, payroll, donations, grant accounts, and financial analysis and reporting
  • Develop, monitor, and revise annual budgets and generate cost analysis reports
  • Provide financial and budget reports to Center management and Board of Directors and serve as liaison to the Finance Committee of the Board

Center Operations and Information Systems (45% of effort)

  • Manage and supervise front office operations in close collaboration with the Management Team
  • Oversee the daily operations of the Center (facilities maintenance, business contracts, ordering supplies, record keeping, etc.)
  • Supervise Front Office Staff and oversee contracted bookkeeping and IT support
  • Manage Salesforce and Conga accounts
  • Develop and maintain operational manuals
  • Manage and oversee the Center’s electronic information systems (computer network operations)
  • Design, upgrade, and maintain internal databases to support operations, development, and client services

Human Resources (5% of effort)

  • Administer the HR functions of the Center to ensure employment practices are in compliance with all applicable laws and regulations
  • Update Personnel Handbook and Operations Manuals
  • Manage benefits and benefit planning
  • Oversee financial and HR procedures and record-keeping systems to ensure Center compliance with applicable laws, rules, and regulations

Other Support (5% of effort)

  • Support Directors with operations, program functions, record keeping, etc.
  • Support preparation for quarterly board meetings and maintain official board documents

Qualifications

Minimum certifications, education and experience required:

  • Bachelor’s degree in related field
  • Five years of experience in one or more responsibility areas
  • Minimum of 3-5 years management experience in operations

Knowledge of:

  • Generally accepted accounting principles including budget preparation and controls
  •  Administrative and office management best practices
  •  Applicable laws, regulations, policies, and procedures
  •  Database administration

Essential Skills:

  • Excellent communication skills (both verbal and written)
  • Excellent interpersonal skills and comfortable in a team work situation
  • Mastery of accounting software, QuickBooks preferred
  • Mastery of Office Suite, especially Excel
  • Read, interpret, apply rules, regulations, policies, and procedures
  • Design, write, and explain detailed policies and procedures
  • Work independently and meet schedules and time lines
  • Maintain confidentiality
