Business Operations & Marketing Manager

Position Title:  Business Operations & Marketing Manager

 

FLSA Status:  Exempt                       Department: Administration

Reports to:  Executive Director          Effective Date:  July 2018

 


Position Summary:

Reporting to the Executive Director, the BOMM provides operational support to the entire organization, adding value through efficient, timely, and well-defined processes and communications. The BOMM has primary responsibilities in the following areas: administration, finance/bookkeeping, donor stewardship, legal/regulatory, human resources/benefits, procurement, and communications/marketing. 

 

Position Mission:

Promote the overall efficacy and integrity of the organization through the development and administration of well-designed business processes and procedures.  Actively provide creative leadership, organization, and support in the execution of strategies and activities that enhance operational and administrative success in all areas of the organization and safeguard against legal, fiscal, and ethical scrutiny.

·      Staff and Board members have reliable, professional, and positive administrative support in carrying out the WyF mission

·        The organization’s “public face” is represented by strong/consistent branding and messaging

·        In partnership with the Director of Development and others, donors and grantors are managed and stewarded to the strategic advantage of the organization

·        Organizational communications are courteous, professional, and ethical

·        All personnel files are accurate, up-to-date, and legally compliant

·        The confidentiality of internal communications and other sensitive information is maintained at all times

·        Novel strategies and personal development to improve impact and outcomes are actively sought 

 

Key Accountabilities (Essential Functions):

·        Oversee all administrative functions including but not limited to reception, mailing/shipping, physical space and equipment maintenance, procurement, and service/technology provider management

·      Maintain financial records and basic bookkeeping functions in QuickBooks Online, including A/P and A/R, and act as liaison to accountants and auditors

·      Support the Development function in the stewardship and cultivation of donors through quality communication and organizational skills, including database management

·        Oversee the design and creation of print and branded media for administrative and marketing purposes

·    Serve as a key team member/resource on various event planning committees to successfully market, strengthen, and fund the organization

·        Maintain employee files with a commitment to confidentiality and accuracy

·        Prepare various types of correspondence as requested

·        Manage records retention in an efficient and compliant manner

·        Maintain and communicate organizational policies and standards

·        Other duties as assigned

 

Desired Qualifications (Position Requirements):

 ·      Exceptional written and verbal communication skills

·        Exceptional organizational skills

·        Experience with QuickBooks Online and basic accounting/bookkeeping principles

·        Experience with benefits administration and basic human resource management principles

·        Event management experience preferred

·        Nonprofit and donor relations experience preferred

·        Experience with CRM software preferred

·        College degree preferred

 

Physical Requirements, Mental, Equipment & Working Condition Elements:

 Incumbent must be able to:

·       Travel to represent the organization at conventions, conferences, meetings, and special events related to the support of veterans that are severely wounded, injured, and/or ill

·        Regularly interact with Veterans that are severely wounded, injured, and/or ill

·       Use computers, calculators, keyboards, telephone, and other office equipment in the course of normal workday

·        Be flexible and adaptable in successfully managing the organization’s growth
