Business & Office Coordinator

Position Title:  Business & Office Coordinator

 

FLSA Status:  Exempt                       Department: Administration

Reports to:  Executive Director      Effective Date:  August 2018

 


Position Summary:

 Reporting to the Executive Director, the BOC provides administrative support to the entire organization, adding value through efficient, timely, and thorough administration. The BOC has responsibilities in the following areas: record keeping/filing, office/reception, financial/bookkeeping, event/agenda, purchasing, document preparation, development and donor relations, and human resources.


Position Mission:

Promote the overall efficacy and integrity of the organization through the development and administration of well-designed business procedures, processes, and events.  Actively provide creative organization and support in the execution of strategies and activities that enhance operational and administrative success in all areas and safeguard against legal, fiscal, and ethical scrutiny.

 Key Job Duties/Accountabilities: 

·        Administer office including reception, mailing/shipping, procurement, physical space and equipment maintenance, and service/technology provider management

·        Maintain QuickBooks in an accurate and timely manner, prepare A/P, A/R, and bank deposits, maintain other financial records and controls as directed, and serve as liaison to accountants and auditors

·        Support the Development function in the stewardship and cultivation of donors through prompt and accurate database management and professional communication

·        Coordinate the design and creation of print and branded media for administrative and marketing purposes

·        Maintain accuracy, completeness, and timeliness of the organization’s web presence

·        Serve as a key team member/resource on various event planning committees to successfully market, strengthen, and fund the organization

·        Maintain employee files and administer benefits program with a commitment to confidentiality and accuracy

·        Prepare various types of correspondence as requested

·        Manage records retention in an efficient and compliant manner

·        Communicate organizational policies and standards

·        Other duties as assigned

 

 Desired Qualifications (Position Requirements):

 ·        Exceptional written and verbal communication skills

·        Exceptional organizational and administrative skills

·        Experience with QuickBooks and basic accounting/bookkeeping principles

·        Experience with basic human resource management and benefits administration

·        Experience with CRM software preferred

·        Experience with WordPress preferred

·        Event/agenda management experience a plus

·        Nonprofit experience a plus

·        College degree preferred

 

Physical Requirements, Mental, Equipment & Working Condition Elements:

 Incumbent must be able to:

·        Occasionally travel to represent the organization at conventions, conferences, meetings, and special events 

·        Regularly interact with Veterans that are severely wounded, injured, and/or ill

·        Use a variety of office equipment in the course of normal workday

·        Be available for consult with supervisors, subordinate staff, or volunteers at agreed upon times

·        Be flexible and adaptable in successfully supporting the organization’s growth
